VPI Security: Data Handling & Privacy Statement

At Vacant Property Inspections (VPI), we balance professional transparency with absolute client discretion. To ensure the highest level of security and GDPR compliance, we adhere to the following protocols:

1. Encrypted Storage & Hardware

All raw property inspection data, including high-resolution imagery and drone footage, is stored on military-grade 256-bit AES encrypted hardware. This ensures that even if hardware is lost or stolen, your property data remains inaccessible to unauthorized parties.

2. Marketing & Social Media Protocol

We occasionally use photography for educational or marketing purposes (e.g., Google Business or Facebook). To protect our clients, we follow a strict Privacy-First masking policy:

  • Close-Up Focus Only: We only publish close-up shots of technical faults, security breaches, or repair work.

  • No Identifiable Features: We never publish photos showing house numbers, street names, unique building exteriors, or identifiable landmarks.

  • Data Scrubbing: All public-facing images are stripped of on-screen geo-location data and metadata that could link the image to a specific address.

3. Secure Transmission of Reports

  • Verified Recipients: Reports are sent directly to the verified email address provided by the client during the intake process.

  • Integrity Checks: We do not use third-party “open” cloud links for sensitive interior reports; they are delivered as direct attachments to your secure inbox.

4. Chain of Custody & Retention

  • SIA Oversight: Only SIA-licensed personnel manage the decryption and processing of site data.

  • Insurance Records: We maintain property status records for the duration of the contract to support potential insurance claims, followed by secure digital deletion upon contract termination.
